How do I download my mail messages to my client AND leave them up on the server?

By default, whenever you use your email program (such as Outlook) to access your messages, you download them from the server and they are no longer available through the web interface (SmarterMail). The upside to this is that your mailbox never fills up and stops accepting messages.

Pros:

  • Access your historical messages from anywhere.
  • Have a backup of your messages in case your computer fails.

Cons:

  • Must log into the web interface regularly to ensure your mailbox isn’t getting full or else people won’t be able to send you email anymore.

If you do choose to leave messages on the server, it is recommended that you only leave the last x amount of days so that you don’t run into problems as quickly.

To change your settings to leave a copy of your messages on the server, select your email client:

Outlook 2003: Leave copy of messages on the server

  1. Go to Tools > Email Accounts and click Next
  2. Select your account and click Change
  3. Click on the More Settings Button Select the Advanced tab
  4. Check “Leave a copy of messages on the server

  5. Click OK
  6. Click Next and Finish

Outlook Express: Leave copy of messages on the server

  1. Go to Tools > Accounts and click on the Mail tab
  2. Select your account and click Properties
  3. Select the Advanced tab
  4. Check “Leave a copy of messages on the server
