Updated: (2-26-13) Administrative Assistant Position
The purpose of this position is to provide operational support to key members of the Vivid Image team and help create an extraordinary customer experience. This person must work well with others. This is a part-time position; approximately 30 hours per week.
Key Responsibilities Include:
- Provide support to staff
- Track, manage and oversee office supplies
- Provide customer service, answer phones
- Process Accounts Payable
- Manage insurance policies
- Phone calls to schedule yearly/quarterly meetings with clients
- Maintain work area (especially Conference Rooms) in a clean and orderly fashion
- Maintain marketing materials; updating, printing, faxing, copying, shredding
- Show a willingness to support special events and meetings including on-site and off-site training sessions
- Stay on top of and distribute weekly company news and communication
Qualifications and Skills:
- Take direction from others well, teamwork, and take self-initiative
- Possess the ability to anticipate the needs of office, staff, and clients
- Able to juggle multiple projects at one time
- Professional telephone Skills
- Proficiency in Microsoft Office
- Able to lift 50 lbs (office supplies, etc)
- Attention to detail, every detail adds value to the customer experience
- Excellent verbal and written communication skills
- Curiosity, desire to learn and offer ideas
- Keep information in strict confidence, confidentiality statement
